The President’s Room and Study Loft may be reserved without cost for private use during regular business hours, with the exception of Fridays between 2:30 PM and 7:30 PM. (See Meeting Space section.)
Any function that uses the Grad House outside of regular business hours or that will significantly impede its use and enjoyment by other members during regular business hours will be classified as an exclusive "Private House Function".
Event organizers are responsible for their guests’ behaviour and any damages that occur to the premises and/or its furniture and equipment during their event.
All members and their guests must comply with the Grad House by-laws and liquor license.
The Grad House Manager must be notified of the cancellation of a Private House Function at least 24 hours in advance or the deposit will be forfeited.
No Private House Function may take place during pre-advertised Grad House special events or Monday - Friday between 3:30 PM and 7:00 PM.
Every Private House Function must be a minimum of 2 hours in duration and meet a minimum average of per hour in bar sales (exclusive of mandatory gratuities and HST). If the minimum sales average is not met, any deficit must be made up by the event organizers at final settlement.
Tickets may be purchased in advance only in batches of 50 at a cost of $3.50 per ticket, plus a mandatory 15% staff gratuity, for a total of $201.25 per batch. Drink tickets are only for non-alcoholic beverages, domestic beer and draughts, house wines and non-premium liquors. All drink tickets must be used the day of the event and are non-refundable.
The Grad House special event sound system may be used for event. The regular Grad House stereo may not be used at high volume in lieu of the sound system. Grad House staff have final authority over both the regular stereo and the special event sound system.
The Grad House barbeque may be rented for $10 per event.
Final settlement accounting will take place no later than the business day following the event and any resulting invoices must be paid by the event organizers within 10 business days.
